Job Title: Part time Bookkeeper/Administrative Assistant 30 hours

Summary

Reporting to the Chief of Finance and Administration, this position will be responsible for oversight of all back-office operations activities and for maintaining strong internal communications environment. The Bookkeeper/Administrative  Assistant will be responsible for developing and cultivating strong relationships with all Company stakeholders (employees, clients, and outside partners). In order to be successful in this role, the candidate must be proficient in Salesforce online, be very detail oriented and have outstanding written and verbal communication skills.

  • Responsible for internal coordination of record keeping activities in support of the Newspaper operations; specifically,
    • Prepare weekly layout of Newspaper by producing reports out of Salesforce
    • Confirm sales team has entered all ads into Salesforce
    • Day of printing- (Tuesday’s) run report again and in collaboration with graphic designers, confirm all ads are in the layout.
  • Support Chief of Finance and Administration with general office activities such as;
    • Execution of all invoicing (preparation, calculation, sending etc.), performing an audit check of the Newspaper to make sure all ads are accounted for and invoiced,
    • Coordination of printing operations including communication with the external printer,
    • Receive client payments, enter information into books and Salesforce, make bank deposits,
    • Responsible for collection activities, including following up with clients and coordinating with the sales team
    • Responsible for maintaining Subscriptions
    • Responsible for managing the offices’ day to day activities.

Requirements

  • 3 years of experience working in accounting and office management. Associates or Bachelor’s Degree
  • Proficient in Microsoft Office applications, QuickBooks online.
  • Ability to collaborate across the organization and operational processes as well as perform analysis and tasks independently as required.
  • Ability to work in a fast-paced environment and be able to multi-task.
  • Keen analytic and organizational skills.
  • Strong problem-solving skills with a proactive approach.
  • Strong interpersonal and communication skills; experience in effectively communicating key data, including presentations to senior management, and client interactions.
  • Must be flexible with hours/work days
  • Bi-lingual (English/Spanish) skills desired but not mandatory
  • Must be a team player
